RE: How do you prepare an outsourced team before launch? (25 อ่าน)

We're considering moving part of our email support to an external provider, and I'm trying to understand how much preparation is normally needed. We have internal documentation, but some of the knowledge is informal and mostly understood by experienced employees. How do you transfer that knowledge to an outside team?

I think this stage can make or break the whole outsourcing project. A provider may have experienced support agents, but they still need to understand the specific company, product, policies, and customer expectations. When I looked at Helpware, the use of trained agents as part of the email support model made sense to me, but training shouldn't stop after the initial onboarding. I'd collect examples of common conversations and difficult cases and explain why certain responses worked. It can also help to create clear escalation rules so agents don't have to guess when something falls outside their responsibilities. During the first weeks, I'd have an internal employee review a sample of replies and give direct feedback. That allows problems to be corrected before they become habits. Another useful step is keeping documentation in one place so agents always know which version of a policy is current. Products change, and outdated instructions can quickly lead to incorrect replies. For me, preparation isn't about creating a huge manual. It's about giving agents practical information they can actually use when a real customer email arrives.
